We stopped chasing every shiny new tool and did a full audit across every task, every role and every team. I looked at every task under a microscope to find where AI could actually help. That single shift took me from overwhelmed to scalable. Within 3 months, we doubled our clients with the same-sized team.

Productivity with AI comes from systems, not just one-off prompts. I use custom AI assistants (CustomGPTs, Gems, Projects and Manus with skills) trained to deliver consistent content and strategies.
For example, our content workflow looks like this:
The Spark: A 10-minute voice recording, webinar recording, meeting notes or conversations - all raw ideas.
The Structure: AI turns that recording or transcript into a structured blog outline that is SEO and AEO optimised.
The Expansion: AI drafts the post using my specific brand voice rules and writing style.
The Human Touch: I review and ensure that it has captured the nuances and is still uniquely me.
4. Track and Refine for Results
A results-driven system needs regular check-ins. We use AI to look at our engagement data and tell us what’s working. When we saw a 400% jump in engagement, we knew the system was right.
